Free receipt generator for small businesses in Nigeria

What a proper receipt must show, the free ways to make one, and how to do it on your phone in about ten seconds.

By 6 min read

If you sell on Instagram, run a shop in the market, bake from home or fix phones at Computer Village, your customers have probably asked you for a receipt. Many vendors still answer with a screenshot of a bank alert, a handwritten note, or nothing at all. It works until the day a customer needs proof for a refund, an employer wants a receipt for reimbursement, or someone disputes what they paid.

This guide covers what a proper receipt should contain, the free options you have in Nigeria, and how to make a clean, branded receipt on your phone in about ten seconds.

What a proper receipt must show

A receipt is proof that a customer paid you for something. It does not need to be fancy, but it needs to answer the questions someone will ask later: who sold what, to whom, when, for how much, and how it was paid. A good receipt for a Nigerian small business includes:

  • Your business name, plus a phone number, Instagram handle or address so the customer can find you again.
  • A receipt number. Numbering receipts in order (#0001, #0002…) makes them easy to look up and harder to fake.
  • The date and time of the sale.
  • The customer’s name, and phone number if you deliver.
  • Each item with quantity, unit price and line total.
  • Discount and delivery, if any, shown separately so the total makes sense.
  • The total paid, in naira.
  • Payment method: cash, bank transfer, card or POS.
  • Your policy, in one line: “Exchange within 3 days with receipt” or “Free touch-up within 5 days”.

If your business is registered for VAT, the tax rules ask for more detail on tax invoices, such as your tax identification number and the VAT amount. Requirements change as the tax reforms roll out, so check the current guidance from the Nigeria Revenue Service (NRS, formerly FIRS) or ask your accountant. For most small vendors who are not VAT-registered, the list above is what customers expect.

Why a screenshot is not a receipt

A screenshot of a transfer shows that money moved between two accounts. It does not say what was bought, how many, at what price, or whether delivery was included. It also carries your account details and balance in some cases, which you should not be sending to every customer.

A real receipt also does something a screenshot cannot: it makes you look established. A customer who gets a neat receipt with your logo and colours remembers your name, saves your number, and is more comfortable recommending you. We go into that in why branded receipts make customers come back.

Your free options, compared

There are a few ways to make receipts without paying anything. Each has its place.

A receipt generator is the fastest option once you sell more than a few times a week, because the boring parts (your details, numbering, maths, layout) are done for you. The difference between generators is in the details: whether the receipt looks like your brand or like everyone else’s, whether it goes to WhatsApp cleanly, and whether a customer can check it is real.

How to make a receipt in about 10 seconds with rcpt

rcpt is a receipt generator built for small businesses in Nigeria and across Africa. It runs in your phone’s browser, so there is nothing to install. Here is how it works.

1. Set up your brand once (about two minutes)

Add your business name, logo, brand colour, phone number and Instagram handle, plus a one-line policy if you have one. Pick one of the six templates. You only do this once; every receipt after that picks up your logo and colour automatically.

2. Type what they bought

Add the customer’s name, then the items: name, quantity, price. rcpt remembers products you have sold before, so repeat items take a tap. It adds discount and delivery, does the maths, and gives the receipt the next number. Choose how they paid: cash, transfer, card or POS.

3. Send it or print it

Tap “Share to WhatsApp” and pick the customer’s chat. It goes from your own number, so the customer knows it is from you. You can also download it as an image or PDF, or print it on A4, A5, or a 58mm or 80mm thermal printer. If you are new to sending receipts on WhatsApp, read how to send a receipt on WhatsApp the right way.

What “free” means on rcpt

Every new account gets 7 days of Starter free, with unlimited receipts and all six templates. After that you stay on the Free plan: 3 receipts a day, every day, with the Clean, Slip and Editorial templates. Nothing is charged automatically, and no card is needed to start.

If you make more than three receipts on a busy day, Starter is ₦2,000 for 30 days or ₦20,000 for a year. It is prepaid by card or bank transfer, and when it runs out you simply go back to Free. There are no subscriptions to cancel.

Tips for better receipts

  • Use a clear logo. A square logo on a plain background prints and shrinks best. If you do not have one yet, rcpt shows a tidy monogram of your initials in your brand colour.
  • Name items the way customers would. “Red velvet cake, 8 inch” beats “Item 3”.
  • Send the receipt the same day. It closes the sale properly and gives the customer your details while they are happy.
  • Only issue a receipt after the money lands. Check your banking app, not an SMS or a screenshot. Our guide on spotting fake transfer alerts explains why.
  • Pick a template that fits your trade. See receipt templates by business type.

The short version

A good receipt names your business, numbers the sale, lists what was bought, shows the total and payment method, and gives the customer a way to reach you. You can make one free on paper or in a template, but if you sell often, a receipt generator saves time and makes you look the part. Make your first rcpt receipt free; it takes two minutes to set up.

Frequently asked questions

Is rcpt really free?

Yes. Every new account gets 7 days of Starter free. After that, the Free plan gives you 3 receipts a day forever with three templates. No card is needed and nothing is charged automatically.

Do I need to install an app to make receipts?

No. rcpt works in your phone's browser. You can add it to your home screen so it opens like an app.

Can I add my logo to the receipt?

Yes. You add your logo and brand colour once during setup and every receipt picks them up automatically.

Can I make receipts in Ghana cedis, Kenyan shillings or rand?

Yes. Pick your currency when you set up your business (or later in Settings): Ghana cedis, Kenyan shillings, South African rand, CFA francs and more. Every receipt, total and PDF then uses it. rcpt's own plans are priced in naira.
