How to send a receipt on WhatsApp, the professional way
Screenshots and “received, thanks” messages are not receipts. Here is how to send a proper one from your own number.
For most small businesses in Nigeria, Ghana and Kenya, WhatsApp is where the sale happens. The customer asks for prices, sends the transfer, and waits for confirmation in the same chat. So it makes sense for the receipt to land there too. The question is how to do it in a way that looks professional, is easy for the customer to keep, and does not take you five minutes every time.
What not to send
Three habits are common, and all of them cause problems later.
- A screenshot of your bank alert. It proves money moved, not what was bought. It can also show your balance or account details to a stranger.
- A typed message like “Received 25k, thanks”. Friendly, but it gets buried in the chat and means nothing if the customer needs proof for their employer, a refund, or a warranty.
- A photo of a handwritten receipt. Better than nothing, but often blurry, and anyone can copy the format.
What a good WhatsApp receipt looks like
A receipt that works well on WhatsApp has a few things in common:
- It is an image or PDF the customer can save, forward or print.
- It is readable on a phone screen without zooming: big total, clear items.
- It carries your logo and colours, so it is obviously from you when they scroll back months later.
- It has your phone number and handle on it, so a forwarded receipt brings you new customers.
- It can be checked: a receipt number at minimum, and ideally a QR code that proves it is genuine.
- It comes from your own number, in the same chat as the sale.
That last point matters more than it seems. Some tools send receipts from a shared business number or a link from an unknown sender. Customers are rightly suspicious of messages from numbers they do not know. A receipt that arrives in the chat they already have with you is trusted straight away.
Image or PDF?
For WhatsApp, an image is usually best. It previews in the chat, so the customer sees the receipt without opening anything. Send a PDF when the customer asks for one, usually because they need to submit it to an employer or keep it with company records. A good receipt tool lets you do both from the same receipt.
Step by step: sending a receipt on WhatsApp with rcpt
rcpt was built around this exact moment. Once your brand is set up, the flow on your phone is:
- Open rcpt and tap New receipt.
- Type the customer’s name and what they bought. Items you have sold before come up as you type.
- Pick how they paid: cash, bank transfer, card or POS. Add delivery or a discount if needed.
- Tap Share to WhatsApp. Your phone’s share sheet opens.
- Choose WhatsApp (or WhatsApp Business), pick the customer’s chat, and send.
The receipt goes as an image from your own number. The whole thing takes about ten seconds once you are used to it. If the customer later wants a PDF, open the receipt in your history and download it.
Why the QR code helps on WhatsApp
Images on WhatsApp are easy to forward and, unfortunately, easy to edit. Someone could change the amount on a screenshot of your receipt and show it to a third party. Every rcpt receipt has a QR code that opens the original on rcpt, showing who issued it, when, and that it has not been changed since. Anyone without a camera can paste the code on the verify page.
This protects your name. If a doctored copy of “your” receipt turns up, the QR shows the real one.
What your customer can do with it
When a customer scans the QR on an rcpt receipt, they land on a page with the receipt and two handy buttons: Order again, which takes them straight back to you, and a quick rating. A receipt that used to be a dead end becomes a way back to your shop. We cover that more in why branded receipts bring customers back.
Common questions from vendors
Should I send the receipt before or after delivery?
Send it once payment is confirmed. If the customer pays on delivery, your rider can show the receipt or you can send it as soon as you get the money.
What about customers who are not on WhatsApp?
Download the receipt as an image or PDF and send it by SMS, email or Instagram DM, or print it. For walk-in customers at a counter, a thermal printer works well; see 58mm vs 80mm thermal printers.
Can I resend an old receipt?
Yes. Every receipt stays in your history, so you can find it and share it again, exactly as it was issued.
The short version
Stop sending screenshots. Send a proper receipt image with your logo, your contact details and a way to check it, from your own WhatsApp number, as soon as payment lands. Set up rcpt free and your next WhatsApp receipt will take about ten seconds.
Frequently asked questions
Does the receipt come from my own WhatsApp number?
Yes. With rcpt you tap Share to WhatsApp, pick your customer's chat and send it from your own number, so your customer knows it's from you.
Should I send a receipt as an image or a PDF on WhatsApp?
An image is usually best because it previews in the chat. Send a PDF when the customer needs it for an employer or company records.
Does it work with WhatsApp Business?
Yes. The receipt is shared through your phone's share sheet, so you can pick WhatsApp or WhatsApp Business.
