How to write a receipt for a deposit or part payment

Half now, half later? Give a receipt for every payment that shows exactly what is left, and the arguments stop.

A bride pays half for her aso-ebi before the fabric is cut. A client books a photoshoot with a deposit. A customer orders a custom cake and promises the balance on pickup. Part payments are everywhere in Nigerian business, and they are where most arguments start: “I already paid you 40k.” “No, it was 30k.”

The fix is simple: give a receipt for every payment, and make each one show what has been paid so far and what is left. Here is how to write one properly.

What a deposit or part-payment receipt must show

  • The full job or order: items or services and the agreed total.
  • The amount paid now and how it was paid.
  • What was paid before, if this is not the first payment.
  • The balance due, clearly labelled.
  • A receipt number and date for this payment.
  • Any terms: when the balance is due, and whether the deposit is refundable.

The key is that the customer can look at the latest receipt alone and know exactly where things stand.

An example: a ₦150,000 order paid in three parts

ReceiptPaid nowPaid beforeBalance due
#0041 Deposit, 3 June₦50,000₦0₦100,000
#0047 Second payment, 10 June₦60,000₦50,000₦40,000
#0052 Final payment, 17 June₦40,000₦110,000₦0 (paid in full)

Each receipt lists the same order and total. Only the payment changes. By the third receipt there is nothing left to argue about.

Deposit, part payment, balance: the words

  • Deposit: the first payment that secures an order or booking. Say upfront whether it is refundable.
  • Part payment or instalment: any payment that does not clear the total.
  • Balance: what is still owed after all payments so far.

How to do it with rcpt

The first payment

  1. Tap New receipt and add the full order or services with the agreed total.
  2. Tick Part payment or deposit and enter the amount paid now.
  3. rcpt shows the balance and prints it on the receipt. Share it to WhatsApp or print it.

Every payment after that

  1. Open the first receipt from your history and tap Record a payment.
  2. Enter what they paid today.
  3. rcpt issues a new receipt for the same job showing paid before, paid now and the new balance due. When the balance reaches zero, it is marked paid in full.

The amounts paid before are worked out by rcpt from the earlier receipts, not typed in by hand, so the balance on the customer’s receipt always matches your records. Service businesses can also add the service date, who served the client and the next appointment.

The short version

Issue a receipt for every payment, and make each one show the total, what has been paid, and what is left. Try rcpt free: tick “Part payment or deposit” on the first receipt and record later payments against it.

Frequently asked questions

Should I give a receipt for a deposit?

Yes. A deposit is a payment, so the customer should get a receipt showing the amount, the agreed total and the balance due.

Is a deposit refundable?

It depends on what you agreed. State your terms upfront and write them on the receipt, for example "Deposit non-refundable after materials are bought".

Do I give a new receipt for the balance?

Yes. Give a receipt for every payment. The final one should show the balance as zero, paid in full.
